Welcome to the Tzu Chi Community

This handbook is intended to provide information about our school and practical guidelines for working together in a respectful and caring environment where we continue to learn from one another while pursuing our aims and aspirations together.

In Primary School we strive to build strong foundation of children’s learning which will benefit them in the future. We want to develop their love for learning with good moral characters as our ground philosophy. With the spirit of Tzu Chi: gratitude, respect and love, we wish to instill good values in our graduates. They do not only learn to enhance their intellectual skills, but also other aspects to ensure the holistic development of our learners. In the end, what matters the most is the core values of each individual. Each learner is taught not only to care for themselves, but also to care and give back to the society with filial piety as its root.

  • Academic Program

Tzu Chi Primary School follows Indonesian National Curriculum and Cambridge Framework infused with Tzu Chi Humanistic Education. Cambridge Framework is implemented in 3 (three) subjects: Mathematics, English and Science with Cambridge Primary Checkpoint in Primary 6.

Cambridge Primary is an education program for young learners that combines a world – class curriculum, high – quality support for teachers and integrated assessment.  With clear learning objectives for each level in each subject area, Cambridge curriculum is in line with Indonesian National Curriculum which focuses on the competency of the learners. With Tzu Chi Humanistic Education, Tzu Chi School aims not to only equip the learners with intellectual skills but also to instill good values to the learners.

Lessons will be conducted in the classroom. However, students may be required to move to another venue e.g. Music Room, Arts Room, Computer Lab, Gymnasium, Humanistic Studies Classes and Science Laboratory where required by the teacher. Movement from one venue to another will be supervised. It is the responsibility of the students to ensure this movement occurs in an orderly manner.

Parents and students are encouraged to get familiar with these key dates in the annual schedule, and to make themselves aware of any alterations or additions.

  • Remedial Classes

Remedial Classes for Primary pupils are conducted free of charge, and are dedicated for the children who need extra assistance in addition to the schedules of the regular lessons during school. Remedial classes are different from each level, and are done for 30 minutes after school hours (for Primary 1- Primary 4). When a child is recommended for remedial classes, parents are advised to cooperate in letting the child stay back after school (except for Primary 5 and 6 students wherein remedial classes are conducted in the morning before school). Remedial classes are now held for the following subjects: Mathematics, English and Chinese. Remedial class for Science is offered for Upper Primary only. The participants of Remedial Classes are selected by the teachers.  

  • Extended Enrichment Program

Extended Enrichment Program is a form of extracurricular activities to enhance learning in different aspects. There are free-of charge programs (those taught by our teachers) and charged programs (outsourced programs). The fees (if you choose the outsourced EEP) will be included in school fee and will not be refunded after confirming the enrichment class. Some programs may require children to bring own material from home. We offer these Extended Enrichment Programs to all children once a week. Each child is only allowed to participate in one of these following programs:

Children will be given 3 choices of EEPs. It will be on a first come first serve basis. If the child’s first choice is full then he/ she will be placed in the second or third choice. Programs might be added or dissolved when needed and parents will be informed about this.

  • Excursions or Field Trips

Field trips are regarded as an important dimension to learning and all students are expected to participate in planned co-curricular activities.
A field trip is an educational activity which involves all members of a class outside of the classroom. It will involve prior preparation for the activity and follow up evaluation and work in class after the trip. The purpose and arrangements for a particular fieldtrip will be determined by the teacher. Parents are informed at least seven (7) days in advance of a field trip. In some instances, parent representatives (Da Ai Mama) may be invited or assist as chaperons.
The cost of these field trips is calculated and conveyed to the parents in good time before the trip. Parent’s permission is required for all excursion/field trips and parents should note the school’s policy of non-liability. All trips will be made in contract or school leased vehicles. A teacher must travel in each vehicle.

  • Assessments

Assessment is a method to check the learners’ understanding of the materials taught in school. Assessments for core subjects (Mathematics, Science, English, Bahasa Indonesia and Chinese) are done regularly throughout the year. There are Topical Tests commonly conducted after certain units/ chapters are finished. At the end of each term, there will be written TERM TESTS for each core subject whilst oral/ practical tests are normally done during school hours. Before Term Tests, students will be given revision paper. This revision paper provides guidance in preparing for the term test and it is not graded.  
In Primary 6, all students of Tzu Chi Primary School (of Indonesian nationality) are required to take Cambridge Primary Checkpoint for 3 subjects: Mathematics, Science and English. They are also obliged to sit for US/MBD (Ujian Sekolah/ Madrasah Berstandar Daerah) which was formerly known as Ujian Nasional. The subjects tested for US/MBD are: Bahasa Indonesia, Matematika and IPA.
There will be extra fees to take these tests in Primary 6. All fees will be communicated to parents in a timely manner. In addition to that, school may also work together with outsourced education institution to provide extra preparation courses beyond school hours. Children have the options to join extra preparation courses and charges will apply.
HSK (Hanyu Shuiping Kaoshi) is an assessment conducted by Han Ban to check and benchmark learners’ capability in Chinese Language. This assessment will test 4 aspects of language learning: listening, speaking, reading and writing. The assessment is done outside the school. Teacher will recommend students to take certain level of HSK. There is also applicable charge for this. HSK is normally taken by Primary 3 students and above.
Other tests such as Cambridge English Language Assessment and ICAS (International Competitions and Assessments among Schools) are held annually and they are optional. Cambridge English Language Assessment has three levels: Starters (for Primary 2), Movers (for Primary 4) and Flyers (for Primary 6). Charges will apply for both assessments.

When students need to be absent during exam days administered independently by school, they will need to present a valid medical certificate upon returning to school. This is a basis of providing make – up tests/ exam for the students. Without valid medical certificate, school has the right to refuse any make –up tests/ exam and the student will be graded ZERO for the test he/she missed.  However, for other examinations (conducted by government or another testing centre), make – up tests procedure will refer to the absence policy set by the organizers.

  • Homework

Homework is an essential part of school life because it provides extra practice for the students. Parents can monitor their child’s understanding and progress through homework, too. Types of homework will vary according to the subjects and their grade level.
Teachers expect children to do the homework independently and to be submitted on time. Children will be given realistic deadline to complete their homework. Failure to complete the homework will be treated seriously. If a child is repeatedly unable to do his/ her homework, parents will be notified.

  • Academic Honesty

Tzu Chi School expects that all of its community of learners (students, teachers, support staff, parents and Board) behave honestly and with integrity. Students will learn about the importance of Academic Honesty with their teachers and how to complete their work in an honest way. This extends to all assessment tasks, homework, classwork, and examinations. Consequently, students who cheat in exams or allow other people to complete their work for them or present another persons work as their own will be subject to a zero mark for that task or face further disciplinary action.

  • Community Service

All students will be engaged in community service through different programs as this is an important element of learning. Tzu Chi School wants to educate children to care not only for themselves, but to others as well as giving back to the society. The community service is integrated with their Ren Wen subjects and parents will be notified for such activities.

  • Home - School Connection

Good parent/teacher communication is vital to the education process. A child who sees parents and school acting in partnership with his/her best interests in mind will have a more positive attitude towards school and learning than one who evidence of conflict between the two. Parents should first address matters on concern with the classroom or subject teacher. If a satisfactory solution to any issue is not established then the matter should be raised further with the Vice Principal/Principal, if necessary.

            Additionally, it is important that questions and concerns are dealt with quickly and that parents and             teachers communicate effectively:

  • Appointments: when necessary we encourage parents and/or teachers to meet to discuss a student’s progress.
  • Email: You can contact teachers by email (a list containing all teachers’ email address will be published). We will strive to answer all emails within 24 hours.
  • Phone: It is difficult to contact teachers by phone but a message can be left at reception.

 

Contacting the Right Person
It is essential that concerns be brought to the attention of the right person.

  • A parent or guardian with a concern on any school matter should always first approach the staff member directly involved.
  • If the concern is academic, the Subject Teacher or the student’s Form Teacher should be contacted in the first instance. If further discussion is required, then contact the appropriate Head of Department and then the Curriculum Coordinator. If necessary, the Vice Principal/ Principal will be consulted.
  • If the concern is related to students’ behavior, the student’s Form Teacher or the School Counselor should be contacted initially. If further discussion is required, then an appointment with Student Affairs Coordinator can be arranged. If necessary, the Vice Principal/ Principal will be consulted.
  • If the concern relates to a more general issue, please contact the student’s Form Teacher.
  • If the concern relates to day to day administrative matters (such as requesting school letter for visa process, school transfer letter or to inform about changes of fetchers) then the School Administration should be contacted (anita@tzuchi.sch.id or dewi.afifah@tzuchi.sch.id)
  • If the concern relates to finance, the Finance department should be contacted.

All members of the school staff should be contacted through the Receptionist
     All official correspondence with Tzu Chi School must be made by letter or e-mail. This includes notice of withdrawal and instruction to finance. Verbal conversations are not considered as official correspondence.

  • Tzu Chi School Students Code of Conduct
  • Attendance

Students are expected to be in attendance on all days that Tzu Chi School is in session. When your child is absent, please call the Administrative Office or send an email to your child’s teacher.  Give your child’s name and class and reason for absence. Additionally, when your child returns to school please send in a letter to the class teacher explaining the absence. Medical certificates are also accepted as proof of absence.
Teachers are not obligated to provide work for children who are taken out of school to go on vacation during regularly scheduled school days. It is suggested that parents do not take their children out of school because of class instruction time will be missed.
Absence from Physical Education
If your child needs to be excused from PE we kindly ask you to provide a doctor’s certificate or a parent’s note, which clearly explains why they cannot participate.

  • Punctuality

Students are expected to arrive in school and their lessons on time as punctuality is a mark of good manners.  Late students will be recorded daily, and students will have the consequence of missing their recess time on the day when he/ she comes late. Tardy students will be referred to Student Affairs Office and excessive lateness will result in a counseling session with the parents.

  • Early Pick - Up

                  If parents find it necessary to temporarily remove student from whole or part of the days of normal attendance for an emergency, they must inform the class teacher and fill out the Early Pick - up Form to explain the need for doing so.

  • School Uniform and Personal Appearance

Tzu Chi School places a considerable emphasis on the importance of the school uniform and the need of all students to take pride in their appearance. All students are expected to wear school uniform and uniform checks are conducted at regular interval during the school year to ensure that all students comply with the uniform policy. The school reserves the right to send a student home if he/she is persistently not conforming to the school uniform policy.

  • School Uniform

School uniforms must be worn at all times during the day and within Tzu Chi School Premises, except for special occasions where specified so. There are 2 kinds of uniforms, namely: formal uniform and PE (Physical Education) uniform.

Girls’ formal uniform must be worn neatly, complete with the tie.
Boys’ formal uniform must be worn neatly, complete with tie and belt.
PE uniform for girls and boys must be worn neatly, during PE days.

Only BLACK plain shoes and Tzu Chi socks can be worn with Tzu Chi School uniform.
Watao (blue socks) will be needed in the Jing Si Hall or Gan En Building.

On specified days the school may allow the wearing of casual clothing (eg. Batik Day or Chinese New Year) rather than uniform. Clothing should be appropriate for participation in lessons and must be modest. Parents will be informed about any such days.
Parents who wish to label the child’s uniform may do so in a place which is not visible

  • Sweater

 

Only School Sweater (can be purchased in the School Bookstore) is allowed to be worn with Tzu Chi uniform.

  • ID Card

Students are required to wear their ID card with Tzu Chi ID lace to gain entry to the school. It is important to bring this ID card daily, as the students will be asked to scan their ID as an evident that they are present in school as well as an identification card to borrow books from the library. If the ID card is lost, the student is required to obtain a new ID card from school. There will be a Rp. 50.000 (Fifty Thousand Rupiah) card replacement fee

  • Hair

Hair must be clean and neatly groomed. No colouring of hair is permitted.

For girls: Hair must be kept out of the face. Girls’ hair must be plaited in two plaits. Shorter hair must be tied into pigtails. Only Tzu Chi hair accessories can be worn.

For boys: Hair must be short and neat. Hair should not go beyond the eyebrow, ears and collar of the shirt. Hair style should be conservative.

 

  • Others
  • Use of cosmetics, nail polish and coloured contact lenses are not permitted. Girls are allowed to wear studded earrings; however, dangling or long earrings are not permitted.
  • Permanent or temporary tattoos should not be seen.
  • Fingernails are to be kept short and clean
  • Watches are allowed to be worn. However, alarms or other noise emitting features must be turned off.
  • Parents and students are not permitted to bring any pets on to the school grounds.
  • Children are not advised to bring in toys or any electronic devices on school grounds or at school – sponsored activities at any time (e.g: field trips). Teachers/ school official will confiscate these devices when there is a violation. Parents/ legal guardians will be required to make arrangement with school officials to claim for such devices.
  • Birthday Celebrations/ Goodie Bags/ Gifts

Parents are advised that we do not allow birthday parties at school. No presents or sweets are to be given out under any circumstances in the school premises. Please be notified that Tzu Chi School teachers are not permitted to accept any gifts from parents/ students.
In the event that students fail to comply with the school rules, they will be referred to Student Affairs Office and their violations will be recorded in the school data. Immediate consequences will be given to the children, and frequent violations will result in a counseling session with the parents.

  •  Lunch and Snacks

Children are asked to bring in healthy vegetarian snacks to be eaten in school during the morning snacks session. Lunch will be provided for Primary School children, and to promote the value of reducing waste, children are required to bring their lunchboxes to school every day.

Primary students are required to consume the food provided by the school. If there is any circumstance which requires the students to bring in special meal, the meal has to be vegetarian and parents are required to produce a medical certificate to explain such case.

  •  Lost Property

All clothing and children’s property brought to school should be labeled (refer to point III.b). Any named item found around the school campus is returned to the class teacher so that it can be returned to the owner. All other lost property which cannot be returned will be sent to the Student Affairs Office. The School does all that it can to offer a secure and safe environment. We have installed a comprehensive CCTV system throughout the School; however, please note that students bring items to school at their own risk. The School cannot be held responsible for any replacement costs arising from the loss or theft of personal items in the school premises. At the end of each term, all unclaimed items of lost property are displayed for parents and students to have a last look before being distributed to charity.

  • Bullying

Bullying is repeated and unjustified actions against other people. Bullying cantake many forms: physical, verbal, social or by the internet and can be carried outby individuals or groups.
At Tzu Chi School, we have no place for such actions and will regard this as a serious discipline issue. The school will handle all such cases sensitively.

At Tzu Chi School, we:

  • Encourage the students to report incidents of bullying
  • Will work hard to establish what exactly happened and why before making any decisions
  • Expect students to be responsible for their own actions – there are no excuses
  • Inform parents about such incidents
  • Design and plan activities/ seminars to prevent bullying from happening
  • Textbooks, Exercise Books and School Supplies

Parents will have to purchase the necessary textbooks, exercise books, school bag, shoes, lunch box and school supplies, where applicable, at the start of the school academic year. Please ensure that your child’s school bag and other belongings are clearly labeled. Labeling of your children’s books should be done at the upper right part of the book.
Students are required to bring in necessary books and stationeries to school for lesson purpose. Textbooks, dictionaries or other equipment can be kept in the students’ respective cubbies to reduce the weight of the child’s school bag. Please be notified that Tzu Chi School does not allow the use of trolley bags in school for safety reason.
Students are encouraged to develop pride in their work. Therefore scribbling and designs are not appropriate or acceptable, on covers or in any other sections of notebooks/textbooks.

  • Bookstore

                 
School Bookstore (located at basement level of Primary Building) sells school uniforms, textbooks and other supplies. It is open every Monday to Friday from 08:00- 12:00 and 13:00- 15:00.

  • Payment of School Fees

School fee of the term must be paid by the 10th of the first month through bank transfer to your child’s virtual account. Penalty for late payments will be imposed on all outstanding balance according to the Finance regulations.

  • Withdrawal Procedure

The school must be given final, confirmed notice by the last day of term in the case of a provisional notice of withdrawal. Every student withdrawing from Tzu Chi School is required to complete a Withdrawal Form, available from the Marketing Department. (antonius@tzuchi.sch.id or ryan.wijaya@tzuchi.sch.id)
The school will not release SURAT PINDAH (transfer letter), any transcript or other records to the student, or any other school, institution or organization until the withdrawal process is completed.
Parents and students are advised not to request for early withdrawal unless a genuine reason or emergency exists as early withdrawal disrupts the academic progress of the student and may have negative consequences in the future.

  • Damage or Lost of School Property

Tzu Chi School children are expected to handle school property with care. In the event that the child breaks any of the school property, finance department will send an invoice to parents and parents are expected to pay for the cost of replacement or repair of the damaged items.
When borrowing books from the Library, children are required to be mindful of the date when the books are due. There will be a penalty (fine) for overdue books. If the books are lost, children are required to pay for replacement of the lost book.

  • Emergency and Security Procedures
  • Incidents

Tzu Chi School is committed to keep the safety and security of the students at our top priority. In the cases of incidents or accidents happening in school and during school hours, the school will immediately take action to treat the child, be it in the school clinic or taking the child to seek for medical professional help when necessary. The parents will then be notified to see the condition of the child.
Tzu Chi School NEVER makes a phone call to parents to ask for certain amount of money to be transferred in the event of incidents/ accidents. If you receive such calls, it is best to call back to school (5055 – 6668) or to our emergency phone line at number 2931 6397 for verification of such calls.
The school fee of your child includes basic insurance which covers for accidents happening in school with the maximum coverage given per child per case amounting to IDR 10 million. Should parents want to ask for reimbursement of certain treatment, parents are required to follow the procedures and provide necessary documents in order to have the amount reimbursed.
The school will take immediate action to treat minor incidents, such as bruises or cuts which result from students’ activities. Parents will then be notified through communication books or incident report form.

  • Force Majeure

Tzu Chi School has put in place a stringent and well planned evacuation policy and procedure in the event of an emergency that may occur in our school building. We perform fire drills and evacuation on a regular basis, once every semester, which incorporate all students and staff.
It is vital that parents provide up-to-date information including your e-mail address to the Admission Office. This will include contact address and telephone numbers for themselves and two other persons who will act as emergency contacts for the family.

  • Dismissal Procedure

Tzu Chi School implements fingerprint system to ensure the security of your child. Three    authorized fetchers are required to register their fingerprints to the school to gain permission to fetch the student. As soon as registered fetchers scan their fingerprints, a small stub will come out of the printer. This stub will later be presented to the teacher as a proof for the teacher to release the child whose name is printed on the stub.

  • The teacher will only release the student to the person who presents the stub
  • It is the parent’s responsibility to report to the Administrative Office should the services of your drivers or maids be terminated so that the Administrative Office staff can remove him/ her from the list of authorized fetchers.

There are 2 dismissal areas in the Primary Building:          


First Floor Lobby

Basement Lobby

Primary 1, 3 and 5

Kindly observe the dismissal schedule carefully and have your child fetched on time. Your child will be transferred to the holding room (located at first floor) 30 minutes after their dismissal time.
To maintain the orderliness of the dismissal process, children who are fetched are not permitted to run around and play in the dismissal area. Please be notified that fetching your children means the school endorses the responsibility of the children back to the fetchers and therefore children who are still playing in school after being fetched are not under teachers’ supervision.

  • Visitors

 

Visitors who wish to enter the school internal areas are required to report to Security Office/ Receptionist to obtain a Visitor Pass. Additionally, they will be required to fill out the guest book before proceeding with the visit.

  • Medical Service

                  The School Nurse will administer first aid and provide health advice at school as needed. Students requiring for injuries or sickness should report to the Clinic where their conditions will be assessed and they will be cared for accordingly. If a student becomes sick during school hours, the Nurse or Administrative Office will inform the parent to fetch the child from school if thought advisable. The child will remain with the nurse in the Clinic until fetched by the parents. In an emergency situation, if the parents or the emergency contact cannot be reached, the child may be taken to the hospital for medical treatment.

  • Immunizations

It is essential that every child’s medical record and emergency contact information be completed and up-to-date. Upon enrollment all parents must complete a Health Card and Emergency Information concerning their child’s health. Proof must be provided that the child has had the immunizations against the diseases mentioned in the Health Card.

Please inform the school if your child is allergic to certain food/ medicine.

  • Keeping Children At Home

 

Students should not be sent to school if they have the following signs of illness:

  • Fever
  • Running or inflamed eyes
  • Rash
  • Vomiting
  • Diarrhea
  • Excessive coughing
  • Infectious diseases e.g. hand, foot & mouth disease, conjunctivitis, chicken pox, etc.

A child should remain at home for at least 24 hours with no fever, diarrhea or vomiting following an illness. Student who has contacted an infectious disease must obtain a medical certificate from a certified health practitioner before returning to school.

  • Medication Policy

                 
Whenever possible, medication should be given at home. However, if your child needs to take medication during school hours, please inform your child’s Class Teacher and fill out the necessary form.

  • Drop – off area

There are four drop – off areas for Primary pupils:

      • Primary building main lobby
      • Primary building basement lobby
      • Parking area in the basement level
      • Jing Si Hall (in front of Sinarmas Bank) à for Upper Primary

It is advisable for parents and guardians to drop their children off in the areas designated for them to avoid traffic in front of the school building. Additionally, parents are also expected to have the children well – prepared prior to arriving in school to ensure the drop – off process is swift and smooth.

When children arrive at school before 7:15 AM, they will be asked to wait in the First Floor Lobby before the teachers allow them to enter their classrooms. Parents are advised to drop the children at school around 7:15 AM.

  • Parking

 

Parking is located at the basement floor of the school.
There will be a registration fee for new vehicles to be subscribed, please contact Administrative Office or Secure Parking Management Office located at the parking area.

  • Parent Volunteer

Parent Volunteer (Da Ai Mama) is an organization which operates under school regulations and draw its member from the parents. Members of Da Ai Mama are parents who are involved and supporting some school daily activities. If you are interested in participating, please contact the chairperson of Da Ai Mama.

  • Parent – Teacher Association (PTA)

 

The PTA is an integral part of the school organization and serves to support the many and varied functions of the school. Parent – Teacher Association is an excellent opportunity for parents to get involved in their school and aid their child’s education. Members of the PTA are class representatives from each class in school who are usually elected by parents at the beginning of each Academic Year.
